Privacy policy

This notice explains the personal information Pitch Parent uses, why it is needed, and the choices available to players, parents, carers, coaches and team administrators.

1. Who we are

Pitch Parent is operated by Grow Smart Coaching Limited (“we”, “us” or “our”). We are responsible for the personal information used to operate Pitch Parent. A participating club or team may also be responsible for information it chooses to enter and use for its own team-management purposes.

2. Who this policy covers

This policy covers adult account holders such as parents, carers, coaches and team administrators, as well as children and other players whose information is managed through an authorised adult’s account.

Pitch Parent is not currently intended for children to create or independently operate their own accounts. Children’s information should only be added by an authorised parent, carer, coach or team administrator.

3. Information we may collect

  • Account details, including name, email address, profile image, team membership and role.
  • Player details, including name, team, squad number, linked parent or carer and an optional profile image.
  • Football-related information such as event availability, attendance, team selection and match statistics.
  • Team communications, including announcements, comments, reactions, feedback and support requests.
  • Fixture, training and event information connected with a team.
  • Technical and security information such as device, browser, login, audit and diagnostic records.

We may receive information directly from you or from an authorised team administrator, coach, parent or carer. We do not intend Pitch Parent to collect medical records, payment-card information or precise continuous location data. Teams should not add unnecessary sensitive information to free-text fields.

4. How and why we use information

We use personal information to:

  • create accounts and confirm that users are linked to the correct teams and players;
  • provide fixtures, availability, attendance, communication, tactics and team-management features;
  • apply role-based permissions and protect one team’s information from another team;
  • send service messages and team notifications chosen by authorised users;
  • respond to support requests, investigate problems and improve the service;
  • prevent misuse, keep audit records and comply with legal obligations.

Depending on the activity, our legal basis will be performance of a contract, our legitimate interests in providing and securing the service, compliance with a legal obligation, or consent where we specifically ask for it. We give additional weight to the rights and best interests of children whenever their information is involved. The final launch version will identify the precise basis for each processing activity.

5. When information is shared

Information may be shared only as needed with:

  • authorised members of the relevant team, according to their role and player links;
  • hosting, authentication, database, file-storage, analytics and communication providers working for us;
  • professional advisers, insurers, regulators or law-enforcement bodies where legally necessary;
  • a successor organisation if the service or company is sold or reorganised, subject to legal safeguards.

We do not sell personal information or allow it to be used for unrelated advertising.

6. International transfers

Some technology suppliers may process information outside the United Kingdom. Where this happens, we will use an applicable adequacy decision or approved contractual and organisational safeguards. Supplier locations and safeguards will be confirmed before launch.

7. How long information is kept

We will keep personal information only while it is needed for an active account or team, for legitimate support and security purposes, or to meet legal requirements. Team access should be removed promptly when a membership ends. A detailed retention schedule—including deletion of inactive accounts, team records, backups and audit logs—will be published before launch.

8. Security

We use proportionate technical and organisational measures designed to protect information. Planned controls include authenticated access, team-scoped permissions, database row-level security, protected file storage, encryption in transit, audit logging, backups and restricted administrative access. No online service can guarantee absolute security.

9. Your data-protection rights

Depending on the circumstances, you—or a parent or carer acting for a child—may ask for access to information, correction, deletion, restriction, portability, or object to certain uses. Where processing is based on consent, consent can be withdrawn. We may need to confirm identity and authority before acting on a request.

You may also complain to the UK Information Commissioner’s Office at ico.org.uk.

10. Local storage, cookies and analytics

Pitch Parent may use essential browser storage to keep users signed in and remember app settings. Limited technical analytics may be used to understand reliability and usage. Before launch, we will publish any required cookie controls and identify each analytics service in use.

11. Changes to this policy

We may update this policy as Pitch Parent develops. Material changes will be highlighted in the app or sent to account holders where appropriate. The current version and its update date will remain available on this page.
